Streamlining Communication: Is It Necessary and How Can You Do It?

Effective communication is key for any organization’s success. According to research, organizations that communicate effectively tend increase their productivity by as much as 25%

Effective communication ensures that employees and managers have the information needed to perform well, complete tasks, and build a positive environment. However, as employees get busier, the company takes on more projects, and more people join the organization, having access to information is more important than ever, but it can also be extremely difficult.

Use A Project Management System 

A project management system is a software tool that allows you to organize, manage, and track your projects. 

Let’s say your organization brings on a new project this year, while still working on two other projects that were started last year. In order to ensure that there are no errors, mix-ups, or miscommunications, it’s best to keep contact and information surrounding each project separate from each other. 

Project management systems allow you to set up separate spaces for each project, so those working on a project can communicate in their assigned ‘discussion feed’, which helps lead to clarity on roles and tasks and ensure that there is no miscommunication in any area. 

Use a Single Tool

 While it’s great that there are various options to communicate with employees, send newsletters, and more, it can also negatively impact job performance.  

The main reason for this is that switching between different tools and learning how to use each unique program can be stressful and time-consuming. Being able to identify which tool works best for you and eliminating the others can save you many hours in your work week, allowing you to focus on other more important tasks that may arise. 

For example, if you have a company newsletter, instead of using 2-3 programs to send out updates, share news, and ask for help, you may want to consider only using one, such as Google or Microsoft (which we provide training for!). This way information can get out in a timely manner. 

While streamlining communication may not be necessary for an organization to run, it’s still something that’s vital for employee and organizational success. It helps to increase transparency, clarity, and access to information and can be beneficial for the organization as a whole.
